Job Description:

The Facilities Clerk receives, stores, and issues equipment, materials, supplies, merchandise or tools, and compiles stock records of items in stockroom, warehouse, or storage yard. This worker sorts incoming articles to verify receipt of items on requisition or invoice, examines stock to verify conformance to specifications, stores articles in bins, on floor or on shelves, according to identifying information, such as style, size, or type of material, fills orders or issues supplies from stock, prepares periodic, special or perpetual inventory of stock, and requisitions articles to fill incoming orders. This worker also compiles reports on use of stock, adjustments of inventory counts and stock records, damage to stock, location changes, and refusal of shipments, may distribute stock among production workers, keeping records of material issued, may adjust articles carried in stock. Additionally, the Facilities clerk works with a government service order system (EBS), daily collecting completed service orders and timesheets and entering such data into the system. The Facilities clerk also runs periodic activity reports as required.


Responsibilities

  • Reports to the DPM or designee and functions under their guidance
  • Requisitioning, receiving, and processing all parts orders
  • Signs for items to show receipt, tallies out shipments and completes documents after ensuring that supplies are shipped in properly spaned, tagged, and labeled containers.
  • Packs, unpacks, sorts, stacks, warehouses, bins, and moves items.
  • Assembles picked items and moves stock to locations (assembly or pickup areas) within a well-prescribed overall storage plan.
  • Re-stacks and re-warehouses items and straightened as needed and purifies bin locations.
  • Make in-storage checks for obvious needs for maintenance and damage.
  • Manages inventory in the warehouse and tracks it through the EBS system
  • Maintain the Supply Log and ensure data is current
  • Work closely with all technicians to ensure correct parts/services are identified for service order work
  • Work closely with the Facilities Supervisor to monitor the status of all outstanding orders
  • Processing warranty returns
  • Follow all company safety policies and procedures.
  • Understand and follow federal, state, and local regulations applicable to industry.
  • Provide exceptional service to all customers
  • Help maintain cleanliness and professional appearance of the parts department and equipment
  • Assist with both perpetual and annual parts inventory
  • EBS
    • Stay current with training
    • Collect daily all completed service orders and timesheets and update EBS with all required information
    • Generate activity reports as required
    • Collate and deliver completed service requests monthly to CGA
  • DPAS (back up support)
    • Stay current with training
    • Open weekend work orders. Annotate information on to those work orders for either closeout (if completed) or for further repairs if required.
    • Maintains log for equipment requiring evacuation to the maintenance shop for repair or preventive maintenance.
    • Distributes emergency call work orders from CGA (electronically generated to our printer) to the proper maintenance personnel. (1 hour response time maximum).
    • Opens and closes equipment work orders throughout the day, this includes unscheduled and scheduled EWO’s.
    • Sorts and maintains files closed EWO’s.
    • Answer’s office phone addressing customer concerns about status of equipment in shop and notifies customers of upcoming PMs of equipment and equipment ready for customer pick up.
  • Light forklift duties as required.
  • Must comply with OSHA, EPA, Fire Regulations, and published Company work rules
  • Performs other duties as assigned.

Qualifications

  • Minimum Education: High school diploma or its equivalent.
  • 1-year related experience in warehouse functions.
  • Computer experience required including proficiency in Excel.
  • Trainability may be substituted for experience.
  • Strong knowledge of commonly used concepts, practices, and procedures used in clerical settings.
  • Possess knowledge of modern office practices, procedures, and
  • Must possess experience in customer service and facility maintenance environments.
  • Current experience with the EBS Government computer system is required, but if not must be acquired through government provided training.
  • Current experience with the DPAS Government computer system is an asset, but if not must be acquired through government provided training.
  • Experience working with Microsoft based computer applications is a required, including Power Point, Excel, and Word.
  • Attention to details on a daily basis is required.
  • Knowledge of the practices, methods, tools, and equipment of the general maintenance trade.
  • Relies on instructions and pre-established guidelines to perform the functions.
  • Knowledge of the hazards and standard safety precautions of the trade.
  • Understand and control of parts inventory.
  • Ability to work from specifications and oral written instructions.
  • Basic computer skills and the ability to keep records.
  • Self-motivated; results oriented; task oriented.
  • Required Licenses and Certifications:
    • California Driver’s License.
  • Training Requirements:
    • Hazard Communication.
    • Forklift.
    • Akima and DDJC training as required.

Physical Demands & Working Environment:

  • Work is generally conducted in a warehouse environment.
  • Work may require lifting up to 25 lbs.; stooping; climbing; prolonged standing and prolonged sitting.
  • Safety shoes are required in warehouse
  • Employee use of Personal Protective Equipment (PPE) is required is certain areas. Such PPE includes but is not limited to head, foot, hand, torso, respiratory, vision and hearing protective devices.
