JOB DESCRIPTION
TITLE: Catering and Handling Coordinator
REPORTS TO: Director of Customer Service and Catering
OVERVIEW:
To support and serve our Customer Service and Sales team on all Catering requests. The Catering Coordinator’s main job responsibility is to ensure that all Catering information is set up and coordinated for all GX Operations. The position is designed to work closely with various departments, including Customer Service, Sales, the Inflight team, and Ground Handling, for all daily flight operations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Request all Catering details for all contracts and confirm that we are within budget, working together with our Sales and Customer Service team.

- Monitor all flights operating, whether Live or Reposition flights, to ensure that they have supplies, beverages, and dry goods to operate upcoming trips.
- Create and Maintain Catering options to be presented to Customers for them to choose catering for their upcoming flights.

- Request crew meals for all flights that are required to have crew meals due to specific flight time.

- Receive all requisition sheets from our flight crews and send sheets to the caterers to stock our aircraft and work closely on this with our Inflight Team.

- Process weekly inventories for all Main Stations within GlobalX Air.

- Coordinate with various FBO/Kitchens to ensure we still have GX stock to cover at least 1 or 2 weeks of flying every month.

- Coordinate any special meal requests directly with our Customer Service and Inflight department to ensure our flight crews are aware of what has been ordered for their trip.

- Ensure that all Caterers and Catering orders confirmed 24 hours prior with each vendor and Station Rep.

- Work together with our legal team to obtain liquor licenses as needed.
|
- Process all invoices through our Finance department to ensure the invoice is accurate and approved promptly.

Set up all vendors in our system to process direct bill payments. |
- Updates a Daily Catering sheet with all pertinent information as to what was ordered for each day and include the catering cost associated with that order.
- Work with Catering vendors to establish the best pricing for all GlobalX Air flights.

- Maintain constant communication with all Charter Rep and Catering rep coordinators to determine what is needed for upcoming trips.

- Maintain constant contact with Dispatch and Inflight team on all Catering-related orders or crew meal requests daily while you are on duty.

- Set up supplies to be delivered to various FBO’s and coordinate all the details in advance with FBO
|
- Attend all Operations and Station meetings to discuss or update the team on Catering details.
- Maintain weekly reports related to catering costs and submit to the Director of Catering to share with our Sales Team.
- Monitor all catering delays and reach out to vendors to find out the cause of the delay to be able to update the team on our Weekly Operations Meeting.
- Must be able to work weekends.
- Work Schedule Thurs – Monday – 8-5 pm – Tues / Wed – Days off

The Catering Coordinator position maintains flexibility in its role and shall provide
operational support across all applicable aspects, ensuring the successful completion of each flight.
SKILLS AND QUALIFICATIONS:
• Must have exceptional communication skills to effectively communicate with all senior management, Miami Dade gate assignment, service providers, to ensure that the operational plans and activities are executed efficiently and effectively.
• Understanding of airport and airline ground operations
• Computer literate
• Excellent oral and written communication skills
• Excellent command of the English language
• Excellent communication skills
• Able to be flexible as schedule varies, 24/7 operations with Holidays/Weekends/Shift work, occasional short-notice callout.
• Display a positive, open, and cooperative behavior in order to facilitate a good relationship inside and outside the department, avoid and help solve conflicts.
• Comply with Company policies, values, and ethics.
• Report to hierarchy any unusual mishaps, non-compliances of terms set in the contracting process and risks, whether to employees or to the company.
• Ability to work under pressure and multitasking.
