The Administrative Assistant for Tooling and Manufacturing Engineering provides administrative and operational support to the department. This role supports engineers and shop personnel by assisting with organization of departmental records, coordination of projects, and tracking of tooling-related activities.
The Administrative Assistant plays an important role in helping the department operate efficiently by maintaining accurate documentation, assisting with planning and coordination tasks, and supporting communication between engineering, manufacturing, and other internal groups.
RESPONSIBILITIES:
- Provide administrative support to the Tooling and Manufacturing Engineering department
- Maintain and organize departmental records, files, and documentation
- Assist with tracking and coordination of department projects and activities
- Maintain records related to tooling, equipment, and departmental assets
- Assist with organizing and maintaining technical documentation and reports
- Prepare spreadsheets, reports, and presentations to support departmental operations
- Support coordination of work requests and assist with tracking status and priorities
- Assist with planning and scheduling activities within the department
- Coordinate communication and information flow between engineering, manufacturing, quality, and other departments
- Prepare purchase requisitions and assist with tracking departmental purchases and orders
- Support meetings by preparing agendas, presentations, and documenting meeting notes
- Maintain office supplies and assist with general administrative needs of the department
- Assist other RHC departments with various administrative requests
REQUIRED QUALIFICATIONS:
- Bachelor’s degree in business or technical field or equivalent experience
- Experience as an Administrative Assistant
- Experience in aerospace or manufacturing industry
- Advanced technological fluency across a wide range of tools and platforms including Microsoft Office applications
- Ability to rapidly adapt to changing environments and anticipate the needs of the organization
- Advanced thinking & interpersonal skills including: leadership, collaboration, resiliency, strategic thinking, diplomatic, problem-solving, emotional intelligence, judgment, and business acumen
- Must be a proven self-starter requiring minimal supervision
- Excellent academic record
- Understanding of engineering processes and principles
- Demonstrated strong and effective verbal, written, and interpersonal communication skills
DESIRED QUALIFICATIONS:
- Experience supporting engineering, manufacturing, or technical teams
- Familiarity with document management or task tracking systems, preferably Jira and Confluence
- Experience coordinating projects or departmental activities
